     Getting to the campus

    Free shuttle bus

We are providing a free shuttle bus for delegates to and from the Crowne Plaza Chengdu West.

We strongly recommend that delegates use this service, as there are security checks to enter the university campus. Travelling together on the shuttle bus will ensure a smooth arrival. Delegates not staying at the hotel are still welcome to make their way to it and use the shuttle bus.

    Day 1
    12:00 | Hotel to campus
    12:25 | Hotel to campus
    17:00 | Campus to hotel

    Day 2
    07:50 | Hotel to campus
    08:10 | Hotel to campus
    17:10 | Campus to hotel

    Driving with a personal car

For delegates unable to take the shuttle bus and needing to enter the campus independently, please ensure that you submit your vehicle details to campus security here one day prior to your arrival on campus. Please also be prepared to show your event ticket at the security checkpoint. This can be found in your booking confirmation email or in the mobile app. We recommend having a screenshot saved on your phone or a copy printed out in case you have connectivity issues.

    Taxi or Didi

For delegates travelling by taxi or Didi, please note that you will not be permitted to drive into the campus. Please ask your driver to drop you off at West Gate 2 (西二门), and from there you'll have a 5-min walk to the School of Economics and Management (经济与管理学院二楼报告厅). Download a campus map showing the walking route.

     Getting around

    Online maps

Google Maps may be inaccurate due to local mapping restrictions, and Apple Maps can experience synchronisation delays regarding local infrastructure updates.

For reliable navigation, real-time subway routing and walking directions, we recommend downloading Amap (Gaode Maps) or Baidu Maps. Although the interfaces are in Chinese, they are highly intuitive and seamlessly accommodate copy-pasted addresses.

    Ride-hailing services

Local taxis are highly affordable, but drivers rarely accept cash or card payments. China’s premier ride-hailing service for regional transit is DiDi.

If you already have Alipay or WeChat downloaded, you can use the native DiDi mini-program. Booking through these digital channels ensures your fare is billed to your linked card. See our FAQs for more information about digital payments in China.

Alternatively, the DiDi app is available in English and can be downloaded on the App Store or Google Play.

     Accommodation

Delegates are responsible for reserving and covering the cost of accommodation for the duration of their stay. Below you will find information about the recommended event hotels as well as a map to easily browse other options. Hover over an accommodation to view the distance to the venue.

A free shuttle bus to and from the campus will be provided from this hotel.

     Internet access

In Mainland China, access to internet sites (including Google services and most social and mainstream media) is restricted. Using an overseas SIM/eSIM card with roaming activated will allow access to sites. However, when using local wi-fi services, including on the UESTC campus, you may find your access restricted unless using a VPN.

Both free and paid commercial VPN services exist, and your institution may provide such a service to staff and students to allow off-campus access to university services.

If you require unobstructed internet access to all sites during your time in China, it is advisable to pre-install a VPN or to activate a hotspot on your mobile device for your other devices to connect to.

     Visas

Some delegates will require a visa to enter Mainland China. Please note that it can take around a month to process a visa application, so early application is essential. Below you will find the list of documents to prepare for your application.

    Basic documents

    1. Passport

Original passport with at least six months of remaining validity and blank visa pages, and a photocopy of the passport's data page and the photo page if it is separate.

    2. Visa application form and photo

The completed visa application form with a recent passport-style colour photo against a light background.

    3. Proof of legal status or residence status (applicable to those not applying for the visa in their country of citizenship)

If you are not applying from your country of citizenship, you must provide the original and a photocopy of your valid certificates or visa of stay, residence, employment or student status, or other valid certificates of legal staying provided by the relevant authorities of the country you are staying in.

    4. Photocopy of previous Chinese visas (applicable to those who have obtained Chinese visas before)

If you have previously obtained a Chinese visa, please provide a photocopy of the most recent one. It will facilitate the Embassy's issuance of the most appropriate visa.

    5. Photocopy of previous Chinese passports or visas (applicable to foreign citizens who were Chinese citizens and have obtained foreign citizenship)

If you are applying for a Chinese visa for the first time, you should provide your previous Chinese passport and a photocopy of its data page.
If you have obtained Chinese visas before and want to apply for a Chinese visa with a renewed foreign passport that does not contain a Chinese visa, you should present the photocopy of the previous passport's data page and the photo page if it is separate, as well as the previous Chinese visa page. If your name on the current passport differs from that on the previous one, you must provide an official document of name change.

    Supporting documents for the F-Visa

    A visa invitation letter containing:

    • Information on the applicant (full name, gender, date of birth, etc.).
    • Information on the planned visit (purpose of visit, arrival and departure dates, place(s) to be visited, relationship between the applicant and the inviting party and financial source for expenditures).
    • Information on the inviting party (name, contact number, address, official stamp and signature).

We can provide visa invitation letters for ticket holders when requested. Please email a photo/scan of your passport to events@timeshighereducation.com once you have booked your ticket.

We cannot accept any responsibility for visa applications. Where a delegate is unable to attend because of failure to obtain a visa on time, the normal cancellation policy for the ticket fee will apply.

We recommend having travel insurance for the duration of your trip. Please contact your travel agent for further details.

     Safety advice and emergency contacts

To protect your personal safety, we recommend:

    • avoiding having valuables on show
    • taking safe and reliable transport, and travelling with colleagues or other delegates at night
    • being alert in crowded and tourist areas, airports, restaurants, pubs and bars and on public transport
    • keeping your card in sight and concealing your PIN when using ATMs and paying by card

China's main emergency service numbers are 110 for police, 120 for ambulances and 119 for the fire department. Emergency dispatchers generally speak Mandarin. If you do not speak Chinese, clearly state "yingwen, yingwen" (English, English) to be transferred to an English-speaking dispatcher.

     Frequently asked questions

    What is the main language?

In Chengdu, the main spoken language is Mandarin and the Chengdu (Cheng-Yu) or Sichuanese dialects. English is not widely spoken by the general public, but is accessible in hotels, tourist hubs, dining districts and commercial centres. The population is generally tech-savvy and can communicate with you through online translations if needed.

    Which currency can I use?

China’s currency is the yuan (¥, CNY). The country operates almost entirely as a cashless society, so carrying physical currency is highly impractical as most merchants do not maintain cash reserves for change. While major international hotels readily accept card payments (Visa/Mastercard), everyday establishments such as local restaurants, convenience stores and street vendors rely exclusively on digital transactions.

Alipay (Zhifubao) and WeChat (Weixin) are the most common payment platforms. We recommend downloading them prior to your departure and linking your card to them. This will enable you to make seamless payments across the country by scanning QR codes, with transactions processed directly through your card.

    Which plug socket is used?

Chengdu uses type I plug sockets (three flat pins in a triangle). The standard voltage is 220 V at a frequency of 50 Hz. We recommend bringing a universal adapter.

    Will wi-fi be available?

Free wi-fi is available throughout the venue's buildings, however connection requires a Chinese mobile number. If you don't have one, Eduroam is also available.

If you have neither a Chinese mobile number nor an Eduroam account, we recommend buying an eSIM via Airalo, which offers unlimited data for 3 days for US$11.50 or 5 days for US$19. Use our referral code TIMESH7718 for US$3 off. Check that your phone supports eSIMs before making your purchase.

    Are there data roaming charges?

Most international delegates will incur high data roaming charges through their network provider. We recommend buying an eSIM via Airalo, which offers unlimited data for 3 days for US$11.50 or 5 days for US$19. Use our referral code TIMESH7718 for US$3 off. Check that your phone supports eSIMs before making your purchase.

Is tap water safe to drink?

Tap water in Chengdu is not safe to drink directly due to potential contamination from ageing plumbing in buildings, so must be boiled first.
